If you wish to send a recurring email to your members, you can set this up via the Communications tab on the back office.
When you click on the Communications tab, select the option titled Automated emails option. If you just wish to send a single email to your members, you can choose the once off email option instead.
On the next page, you will see list of active or previously active recurring emails the club have sent out. This table will list the Subject line, Creator, Recipients, Start & End dates and a quick action menu where you can Edit and Deactivate these scheduled emails. You will be able to edit the details of any previously created recurring email at any time.
To schedule a new recurring email, click on the blue Compose button.
There are a series of fields you will need to input in order to create your recurring email. The first of these will be deciding the recipient list, which will be either your registered members or Lotto players. If you select Members, an additional drop-down will appear, allowing you to select all or specific programmes members registered under. The associated plans under these programmes can also be selected for distribution after this.
After this, you will input the schedule for the recurring email. This will include deciding the Start and End date period for this email to be sent. You will also be able to decide the frequency of when the email will be sent. The options will be daily, weekly, bi-weekly or monthly. After selecting the dates and frequency, a notice will appear below confirming the schedule of the email and how often it will be sent.
The next step is decide the content of your email. There will be Subject field for the title of your email and a template section. The templates will pre-populate text in the section below to help you get started with the content. However, you can remove this text if you do not wish to use it. There will be a basic text editor available to allow you to better format the email you are sending, including the ability to hyperlink URL's.
Below the content field will toggles for you to include the URL's for your Membership/Lotto. The link is customisable so you'll be able to direct members to register for a specific programme if your recurring email is relevant for a specific Membership. There is also a toggle to activate/deactivate the opt out button. This button will enable an option to "Stop reminder" for recipients to remove themselves from future scheduled emails. This will not unsubscribe them from other communications the club sends out from the back office. There will be a separate unsubscribe option at the bottom of this email and others sent out that a member can click on to Unsubscribe from emails.
When you're happy with the finished email, you can click the Preview and Send button to bring up a preview of what the email will look like.
If you need to edit the content in your email, you can click the Make Changes button. If you're happy however to send the email, click the Finish and Save button. This will schedule the recurring email in the system for sending with the details you have inputted.
The sender will show as club name and the email address it will be sent from will be no-reply@clubforce.com. The club crest will show in the email and recipients will not see each others email address.
