It’s important to ensure that your online Lotto is updated in a timely fashion. This article will outline the steps involved in keeping it updated every week.
Step 1 - Log in to the Clubforce admin panel
You should have received your login details for your club admin panel in an email. This will consist of a username and password. If you have not received these yet, please contact us at firstname.lastname@example.org
Step 2 - Choose “Lotto” from the left-hand menu
Once you are logged in, highlight the Lottery tab on the side menu, and select Lotto Draws. Clicking on List will bring up a list of all of your clubs online lotto draws that have been processed through Clubforce.
Step 3 - Access the Edit section for your most recent Lotto Draw
Your most recent draw will be at the top of the list. Each weekly lotto draw has a unique Draw ID, visible in the Draw Details section. You will also see True or False values for:
- Draw Published
- Results Published
- Finalise and Send Results Email
Only when each option has a True Value, will a lotto draw be fully up to date. To do this, click on the drop down menu on the right and select Edit Draw. The next page will allow you to add information for this draw.
Step 4 - Input the numbers for the draw and check for winners
The next step is to enter the draw numbers online below. If your club are drawing the numbers offline, for example, picking the draw numbers in a public venue, then you can simply enter the winning numbers manually in each box after you have the results. If your draw is 100% online, then you can click Pick Draw Numbers to select the Numbers at random.
Ticking the Publish Results box means that after you save the edited draw, the results will be posted to your club’s lotto page on the Clubforce website. After ticking this box, you will then be able to click on Check Online Entries to see if there were any prize winners. The screen will refresh and a message will pop-up to notify you if there are any winners. If there are online winners detected, then the column below will update with their details.
After clicking this button, the Lotto numbers will be locked in for this week’s draw and cannot be changed. If you make a mistake with entering numbers in this section, then please contact email@example.com as soon as possible
Step 5 - Input Details of the Lotto Draw
After checking Online Entries, you can now start inputting the draw details in the Details to be published on Website and App box above. These will be posted to your club’s lotto page on the Clubforce website. By ticking Publish in App, this message will be sent as a Push Notification through the app for this Lotto Draw as well. You can also choose Lucky Dips from your online entries through the Lucky Dips button.
Step 6 - Input Results Email
The final True/False value you will need to update is the Results Email. This will send an email to all lotto players and newsletter subscribers. This email informs them of the lotto results for that week’s draw. You can update the subject line for each week in this section and by ticking the box above the text field for the email, you can copy the same message you have inputted in the Details box above. This ensures the same message is being sent through the App and via the Results email.
You can preview this email by clicking this button before ticking the Finalise & Send results e-mail box. Before you click Save and Send, double check that all details are correct. Once you are happy to proceed, click Save and Send. The screen will refresh and the draw will be updated.
Step 7 -Set up next weeks draw
After clicking Save and Send, the screen will refresh and bring you into the editing page for the following draw. All you have to do is tick the box for Publish Draw and enter the jackpot amount as demonstrated. Once that is done, click Save at the top of the screen.
